Presentation Guidelines for Oral Presenters

Dear Presenters,

Thank you for contributing to our conference. To ensure a smooth and successful session, please review and adhere to the following presentation guidelines.

 

1. Time Allocation

Each oral presentation is allocated a total of 15 minutes. Please strictly manage your time to keep the session on schedule.

  • Presentation: 12 minutes
  • Q&A / Discussion: 3 minutes

 

Each invited presentation is allocated a total of 50 minutes. Please strictly manage your time to keep the session on schedule.

  • Presentation: 45 minutes
  • Q&A / Discussion: 5 minutes

 

Note: A timekeeper will signal you; 1 bell ring, 1 min before the end of talk, 2 bell rings, the end of talk, 3 bell rings, end of discussion.

 

2. Presentation Methods & Equipment

You can choose to either use the venue PC or bring your own PC.

 

Option A: Using the Venue PC

  • The session room PC runs on Windows 11 with Microsoft PowerPoint and Adobe Acrobat Reader (PDF).
  • Aspect Ratio: 16:9 (widescreen) format is reccomended.
  • Font Safety: Please use standard fonts (e.g., Arial, Calibri, Times New Roman) to prevent layout corruption. If you use unique fonts, please convert your presentation file to PDF.
  • How to Submit: Please bring your presentation file on a USB flash drive and transfer the file to the venue PC during registration time (8:15-8:50 on 9/29, 8:30-8:50 on 9/30).

 

Option B: Bringing Your Own PC (Mac / Windows)

  • You are welcome to use your own laptop for the presentation.
  • Important: You must complete a connection test at the Preview Desk well in advance (at least 30 minutes before your session starts).
  • Please ensure your laptop has an HDMI output port. If your device requires a specific adapter (e.g., USB-C to HDMI for MacBooks), you must bring your own adapter.
  • Please deactivate your screen saver, sleep mode, and any passwords before your presentation.

 

 

Presentation Guidelines for Poster Presenters

Dear Poster Presenters,

Please review and adhere to the following guidelines for preparing and presenting your poster on-site.

 

1. Poster Dimensions and Format

  • Maximum SizeA0 size (841 mm width × 1189 mm height).
  • OrientationPortrait (Vertical) format only. Landscape (Horizontal) posters cannot be accommodated due to board size limitations.
  • Layout Recommendation:
    • The title, author names, and affiliations should be clearly visible at the top of the poster.
    • Text and diagrams should be large enough to be read from a distance of 1 to 2 meters.

 

2. Mandatory Flash Talk (1-Minute Preview)

All poster presenters are required to deliver a short oral introduction (Flash Talk) during the designated session.

  • Time Allocation: Strictly 1 minute per presenter.
  • Slide Format: Exactly 1 page (slide) in PDF format only. (PowerPoint files or multi-page files will not be accepted).
  • Submission DeadlineSeptember 18 (Fri)
  • How to Submit: Please send your PDF slide via email to Dr. Takashi Tanida at (t-tanida@vetmed.hokudai.ac.jp).
    • Please use the subject line: "[Flash Talk] Poster Number_Your Name"

 

3. On-site Setup and Removal

  • Poster Board Identification: Your assigned board will be marked with your specific Poster Number(e.g., P-01, P-02). Please check your number in the Abstract book.
  • Mounting / Setup: Please mount your poster on your assigned board starting from 8:15 AM on September 29 until your session time.
  • Materials: Pushpins or Velcro tapes will be provided at the venue. Please do not use your own tape or glue to avoid damaging the boards.
  • Removal: All posters must be removed by 3:00 PM on September 30.

 

4. Poster Session / Core Discussion Time

Presenters are required to stand by their posters during their designated session time to discuss their work with attendees. The core time is divided by Odd and Even poster numbers as follows:

  • Poster Session 1 (Odd Numbers only)
    • Date & Time: September 29, 12:00 - 13:30
  • Poster Session 2 (Even Numbers only)
    • Date & Time: September 30, 11:10 - 12:40

 

 

Abstract Book

  • The Abstract Book will be distributed in a digital format (PDF).
  • It is scheduled to be available to all participants by late August.
  • (Details on how to download or access the file will be sent via email closer to the date.)
